Your app's data

The records inside your hosted app (contacts, deals, clients, documents) are yours. This page covers bringing records in, deciding who can sign in to the app, what the agent may change, and the limits that keep the app safe. For the app itself, see Your hosted web app.

01

Bringing your records in

Give the agent your records in a chat, one of two ways:

  • Attach a spreadsheet or file.
  • Share a link to a spreadsheet, shared as “anyone with the link”. Never send your password for the service it lives in.

The agent tells you in plain words which column becomes which field, and asks about anything unclear. It then sends a review card to your Inbox with a sample of the records and the rows it will skip. Nothing is imported until you press Approve import. Press Decline with a note to have it change something first.

  • Imports go to your test site first.
  • Running the same import again never adds a row twice.

How the cards work: Inbox and approvals.

02

Who can sign in to your app

Open the agent's Hosted App tab (Menu, then Agent settings) and find Sign-in for your app. Switch between Staging (your test site) and Production (your live site): each has its own list of people.

  • Add someone under Let someone sign in: enter their email, choose how they get their password (Set a password, Send an invite so they choose their own, or Generate a password), and press Add login or Send invite. Which options appear depends on your app's version.
  • Make someone an app admin by choosing Admin (can manage the app’s settings) as their role when you add them. Everyone else is Staff.
  • Reset signs a person out everywhere and makes a new password for you to send them. Revoke signs them out and stops them signing in.

Only the agent's owners and admins manage this list. Your agent does not add people or handle their passwords.

03

What the agent can change in your records

The agent adds records to your test site, with your approval, as described above. Changes to how the app works go through the usual check and approval; see Building with your agent.

ℹ Info:Letting your agent update records on your live site by itself (for example, moving a lead to the next stage when an email arrives) is coming soon.

Limits

  • Sign-in attempts are limited per email address: 20 a minute and 100 an hour, in all three templates.
  • In the Client portal, a document link lasts 60 seconds. Each person can open 30 document links per 10 minutes and 300 per day, and each client has a storage cap (5 GB by default).

When you reach a limit, the message ends with “Contact support to increase your limits.”
