Files
Everything your agent produces for you (documents, reports, spreadsheets, images) is kept in Files, whichever thread or automation made it.
Asking for a document
Ask for the file you want, in a thread, and say the format:
- “Turn this into a one-page PDF.”
- “Put these numbers in a spreadsheet, one row per client.”
- “Write up this week’s progress as a short report.”
The file appears in the thread and in Files. To change it, reply in the thread (“Make the title bigger and add our logo”) and the agent updates it.
Finding a file
Open Files from the side rail. Each file shows its type, when it was made and its size.
- Search files by name… finds a file from part of its name.
- The category menu next to the search box shows All categories, one category, or files with No category.
- The star (Add to favourites) keeps a file in Favourites at the top of the list. Favourites are kept in your browser, so they are yours alone.
- Show more at the bottom loads the rest of the list.
Previewing and downloading
Click a file’s name to preview it without leaving the console. Use the arrows to step through the list, and switch between Rendered and Source where a file has both. Download saves a copy, from the preview or from the row.
Categories
Give a file a category from the menu on its row: Reports, Marketing, Sales, Finance, Operations, Design, Legal or Other. A file has one category, and everyone on the agent sees the same one. Owners, admins and operators can set categories; viewers see them.
Sharing a public link
To send a file to someone who does not use the console, press Share on its row. In Share a public link, choose how long the Link lasts: 1 day, 3 days or 7 days. Press Create link, then Copy link.
Shared files carry a Public link tag. Every live link is listed under Public links at the top of Files, with when it expires and who shared it. From there you can Open it, copy it again, or press Revoke to stop it working at once.
Each agent can have a limited number of live links at once; the share window shows how many are in use. When you reach the limit, revoke one to share another. Owners, admins and operators can share and revoke links.
